How to Pass ATS Screening in 2025: What 73% of Job Seekers Get Wrong

You spent three hours on that application. You tailored your cover letter. You hit submit. And then — nothing. Not even a rejection. Just silence.

The hard truth: your CV probably never reached a human. An Applicant Tracking System (ATS) rejected it in milliseconds.

This guide explains exactly how ATS systems work, what causes rejections, and the specific steps you can take to make sure your CV passes — every time.

What Is an ATS and Why Does It Matter?

An Applicant Tracking System is software that companies use to collect, filter, and sort job applications. When you apply online — through a company careers page, LinkedIn, Indeed, or any job board — your CV almost certainly goes into an ATS before any human sees it.

According to research by Jobscan, over 98% of Fortune 500 companies use ATS software. For mid-size companies, the figure is closer to 66%. Even many small businesses use lightweight ATS tools.

The system parses your CV, extracts structured data (job titles, dates, skills, education), and scores your application against the job requirements. Applications below a threshold score are filtered out automatically. Only the top-scoring applications reach a recruiter's inbox.

The key insight: An ATS doesn't read your CV the way a human does. It parses structured data. A beautifully formatted PDF with columns, graphics, and custom fonts can be completely unreadable to an ATS — even if a human would find it impressive.

The 6 Most Common ATS Rejection Reasons

1. Keyword mismatch

This is the #1 reason CVs are rejected. ATS systems are configured to look for specific keywords from the job description. If those exact words — or close synonyms — don't appear in your CV, your score drops dramatically.

If a job description says "project management" and your CV says "programme delivery," an ATS may not connect the two. You need to mirror the exact language used in the job posting.

2. Unreadable formatting

Multi-column layouts, text boxes, tables, headers and footers, graphics, and unusual fonts can all cause ATS parsing failures. The system may miss entire sections of your CV because it can't extract the text reliably.

Use a single-column, clean format. Avoid tables for your experience section. Keep all important content in the main body text.

3. Non-standard section headings

ATS systems look for standard section labels: "Work Experience," "Education," "Skills." If you use creative alternatives like "Where I've Been" or "My Toolkit," the system may not correctly categorise that content.

4. PDF parsing issues

Not all PDFs are equal. A PDF created from a Word document parses cleanly. A PDF created by scanning a physical page is essentially an image — an ATS reads nothing from it. Always use a digitally created PDF or a Word document.

5. Missing job title alignment

ATS systems check whether your most recent job titles match the role you're applying for. A significant title mismatch — even if your responsibilities are identical — can lower your score. Where accurate, align your title to common industry language.

6. Submitting the wrong file format

Many ATS systems handle .docx files better than PDFs. Unless the job posting specifically asks for PDF, submitting a Word document often results in better text extraction and a higher ATS score.

How to Optimise Your CV for ATS (Step by Step)

Step 1: Read the job description carefully and extract keywords

Go through the job description and identify: required skills, preferred skills, software tools, qualifications, and key responsibilities. These are your target keywords.

Step 2: Classify keywords as present, claimable, or genuinely missing

For each keyword, ask: Is this already in my CV? Do I have the experience but different phrasing? Or is this a genuine skill gap? Focus on "claimable" keywords first — you can accurately add them by rephrasing existing experience.

Step 3: Mirror the exact language from the job description

If the JD says "stakeholder management," your CV should say "stakeholder management" — not "managing relationships with stakeholders." Don't paraphrase. Mirror.

Step 4: Use a clean, single-column format

Standard headings. No text boxes. No tables in your experience section. No graphics. A clean, text-based layout is invisible to ATS systems — which is exactly what you want.

Step 5: Submit as .docx where possible

Word documents have an 18% lower ATS failure rate than PDFs. If the job posting doesn't specify format, submit .docx.

Pro tip: Run your CV through an ATS simulator before submitting. Tools like Resumégpt score your CV across keyword match, formatting, and role alignment — and show you exactly what a recruiter's ATS will see.

The Bottom Line

ATS optimisation isn't about gaming the system. It's about making sure your actual qualifications are visible to the system that's deciding whether you get seen. The candidates who get interviews aren't always the most qualified — they're the ones whose CVs are readable and keyword-aligned.

Fix the formatting. Mirror the language. Submit the right format. That's it.

Why Your Cover Letter Sounds Like Everyone Else's — And How to Fix It

Recruiters spend an average of 7 seconds on your CV. They spend even less on your cover letter — unless something in the first two lines makes them stop.

Most cover letters don't make them stop. They start with "I am writing to express my interest in the role of…" and end with "I look forward to hearing from you." They say nothing specific, claim nothing memorable, and are forgotten before the recruiter clicks next.

Here's exactly why generic cover letters fail — and the structure that makes yours worth reading.

The 5 Phrases That Kill Cover Letters

These phrases appear in the majority of cover letters and signal to a recruiter that you've written a template, not a letter:

  • "I am writing to express my interest in…" — Everyone is. Start with something specific.
  • "I am a passionate and driven individual…" — Unverifiable. Show it, don't claim it.
  • "My skills and experience make me an ideal candidate…" — That's for the recruiter to decide.
  • "I am a quick learner…" — Everyone says this. It means nothing.
  • "I look forward to hearing from you at your earliest convenience." — Passive. End with something stronger.
If your cover letter could be sent to any company for any role with only the company name changed — it's not tailored. A tailored cover letter references something specific about the role, the company, or the team.

The Four-Paragraph Structure That Gets Read

Paragraph 1: The hook — why this role, why now

Don't introduce yourself. Start with a specific observation about the role or company, and connect it directly to something in your background. Something the recruiter hasn't read 40 times today.

Example: "The growth you're seeing in your enterprise segment is exactly the market I've spent the last three years in — building the sales infrastructure that took [Previous Company] from €2M to €11M ARR in that segment specifically."

Paragraph 2: The evidence — one specific achievement

Pick the single most relevant achievement from your experience and make it concrete. Numbers, scale, outcome. Not a job description — a result.

Paragraph 3: The connection — what you understand about their problem

Show you've thought about what this company actually needs. What's the challenge behind this hire? What pain point is this role solving? Recruiters notice when a candidate understands the real job, not just the posted job.

Paragraph 4: The close — direct and confident

No "I look forward to hearing from you at your earliest convenience." Close with something that demonstrates genuine interest and invites a response. Keep it short. Keep it confident.

The One Rule That Changes Everything

Write the cover letter last. After you've read the job description carefully. After you've identified the top two or three things this company needs. After you know which one achievement in your background most directly matches their problem.

A cover letter written before you understand the role reads like a template. A cover letter written after you understand the role reads like a conversation.

How to Tailor Your CV Without Spending 3 Hours Per Application

Every career coach says the same thing: tailor your CV for each application. They're right. A tailored CV gets roughly 3x more responses than a generic one.

But nobody explains how to do it in a way that's actually sustainable when you're applying to 20 jobs.

Here's a system that gets you from generic CV to tailored application in under 30 minutes — without rewriting from scratch every time.

Why Tailoring Works (The Mechanism)

Recruiters spend 7 seconds scanning your CV. In those 7 seconds, they're asking one question: does this person look like they could do this specific job?

A generic CV answers that question weakly. Every role looks equally important. Every skill sounds equally relevant. There's no signal.

A tailored CV answers that question loudly. The most relevant experience is at the top. The keywords match the job description. The summary addresses their specific requirements. The signal is clear.

ATS systems work the same way. They score keyword alignment. A tailored CV scores higher. A generic CV often scores below the threshold and never reaches a human.

The 5-Step Tailoring System

Step 1: Extract the role's top 3 priorities (5 minutes)

Read the job description and identify the three things this company needs most from this hire. Not the full list of requirements — the top three. They're usually in the first two paragraphs or listed first in requirements.

Step 2: Rewrite your professional summary (10 minutes)

Your summary is the highest-value tailoring target. It's the first thing read and the easiest to customise. Write 3–4 sentences that directly address the role's top priorities. Use the company's language. Reference their sector or challenges if you can.

Step 3: Reorder and reframe your top bullet points (10 minutes)

You don't need to rewrite your whole experience section. Find the 2–3 bullet points across your history that are most relevant to this role. Move them to the top of their respective jobs. Reframe them to emphasise the outcome that matches what this company needs.

Step 4: Add or swap keywords in your skills section (3 minutes)

Scan the job description for tools, methodologies, or frameworks you have experience with that aren't in your current skills list. Add them exactly as written in the JD. Remove skills that are irrelevant to this role.

Step 5: Check your job titles match the seniority level (2 minutes)

If you're applying for a Senior role but all your titles are at a mid-level, add context in your summary or bullet points. If you had expanded responsibilities that match the senior scope, make that explicit.

The shortcut: Keep a "master CV" with every bullet point you've ever written. Tailoring becomes selecting and reordering from that master list — not writing from scratch. Every application makes the master CV richer.

What Not to Change

Don't change your job titles, employment dates, or company names to better match a role. This is the line between optimisation and fabrication. ATS systems and background checks will catch inconsistencies. Stay accurate.

Don't over-optimise. A CV stuffed with keywords at the expense of readability will pass ATS but fail the human review. The goal is a CV that reads well to both.

The Hidden Reason Your Job Applications Are Getting Ignored

You're qualified. You're applying. You're hearing nothing. What's going wrong?

Most people assume the problem is the market, the economy, or bad luck. Sometimes it is. But there's one fixable cause that explains the majority of silent rejections — and most job seekers never identify it.

The Fit Score Problem

Every recruiter — human or automated — is asking the same question when they look at your application: how well does this person match what we need?

The mistake most job seekers make is applying to every role they're broadly qualified for, regardless of how well they actually match. They send 50 applications hoping 5 stick.

The result: a 10% response rate if they're lucky, and a 0% response rate if their CV isn't tailored. The applications that do get responses are the ones where the match is obvious — where the recruiter reads the CV and immediately thinks "yes, this person has done this job."

Applying to 50 roles you're 40% matched to gets you fewer interviews than applying to 10 roles you're 80% matched to. Volume is not the strategy. Relevance is.

How to Score Your Own Fit Before Applying

Before sending any application, ask yourself three questions:

  1. Do I have at least 70% of the required skills? — Not preferred, required. If you're missing core requirements, the application is unlikely to move forward regardless of how good your CV is.
  2. Is my seniority level aligned? — Applying two levels above your current role is a long shot. One level up, with evidence of expanded responsibility, is realistic. Two levels is almost never successful without a warm introduction.
  3. Does the role description match what I've actually done? — Not just the job title. The day-to-day responsibilities. The tools. The industry. The closer the match, the better your chances.

The Right Application Volume

Quality beats quantity, but quality doesn't mean applying to five jobs a week and waiting. It means:

  • Identifying roles where your match score is genuinely high (70%+)
  • Tailoring every CV and cover letter to that specific role
  • Tracking what you've applied to and following up systematically
  • Cutting roles from your list that consistently score low — and understanding why

A structured search of 20–30 high-fit applications per month will out-perform 100 generic applications every time.

Job Search Fatigue Is Real — Here's the Systematic Fix

Three months. Eighty applications. Four interviews. Zero offers. If you've been here, you know what job search fatigue feels like — the point where every new application feels pointless, where you stop tracking what you've sent, where the rejection emails stop landing and the silence starts.

Job search fatigue isn't weakness. It's the rational response to a broken process. The good news: it's fixable if you treat job searching as a system, not a grind.

Why the Grind Approach Fails

The conventional advice is: apply to as many jobs as possible. This advice produces job search fatigue almost by design.

When every application looks the same — same CV, same cover letter — the response rate is low. Low responses mean high effort with low reward. High effort with low reward is unsustainable. The process collapses.

The alternative isn't working harder. It's working with a system that protects your time and keeps the signal-to-noise ratio high.

The Systematic Approach: 4 Changes

1. Set a weekly application target based on quality, not quantity

Commit to 5–10 genuinely tailored applications per week instead of 20–30 generic ones. Track your response rate. If it's below 10%, the problem is relevance or tailoring — not volume.

2. Score roles before you apply

Not every open role is worth your time. Before writing a tailored CV and cover letter, decide whether the role is actually a good fit. If your honest fit score is below 60%, move on. Your energy is finite. Protect it.

3. Track every application in one place

The moment you lose track of what you've applied to, the process breaks down. A simple tracker — role, company, date, status, outcome — gives you data to work with. You'll start to see patterns: which sectors respond, which don't, which approaches are landing.

4. Build in feedback loops

After each week, review: what did I apply to? What responded? Where is the mismatch? A job search without feedback loops is flying blind. With feedback, you adjust, improve, and compound over time.

The best job searches are systematic, not relentless. The candidates who get offers fastest are the ones who know their numbers, apply selectively, and adjust based on what's actually working.

What to Do Right Now

If you're in the middle of fatigue: stop sending new applications for 48 hours. Open a spreadsheet. List everything you've applied to. Calculate your response rate. Look at the roles that did get responses — what do they have in common? That's your signal. Rebuild from there.

The 10 CV Phrases That Get You Rejected (And What to Write Instead)

Recruiters can spot a weak CV bullet in under a second. After thousands of applications, certain phrases become invisible — not because they're unfamiliar, but because they say nothing specific enough to act on.

Here are the 10 phrases that appear most often on rejected CVs — and what to write instead.

The 10 Worst Offenders

1. "Responsible for…"

This describes your job description, not your performance. Replace it with a strong action verb + what you did + what it achieved.
Instead: "Rebuilt the client onboarding process, reducing time-to-activation from 14 days to 4."

2. "Worked closely with…" / "Collaborated with…"

Vague and unverifiable. What did you actually produce together?
Instead: "Co-led a cross-functional team of 8 to launch a new pricing model, contributing £1.2M incremental revenue in Q3."

3. "Assisted with…" / "Helped to…"

Minimising language. Own your contribution.
Instead: "Built the reporting infrastructure used by the sales team to track £4M in pipeline — previously tracked manually."

4. "Strong communication skills"

Every CV claims this. Show a situation where communication mattered.
Instead: "Presented quarterly business reviews to C-suite stakeholders across 3 enterprise accounts, retaining 100% of contracts at renewal."

5. "Team player"

Meaningless as a standalone claim. Context makes it credible.
Instead: "Coordinated across product, legal, and finance to close a compliance requirement blocking 4 enterprise deals — resolved in 11 days."

6. "Detail-oriented"

Prove it by showing a result that required precision.
Instead: "Audited 3 years of financial records for a GDPR compliance review, identifying and correcting 47 data handling violations before a regulatory audit."

7. "Passionate about…"

Fine in a cover letter. On a CV, show what that passion produced.
Instead: evidence of initiative — a project you started, a skill you self-taught, a result you drove without being asked.

8. "Results-driven"

This is circular. If your CV has actual results, you don't need to claim it.
Instead: just have the results. Let them do the work.

9. "Managed a team of…" (with no outcome)

Management without outcome is a job description, not an achievement.
Instead: "Managed a team of 6 — grew average deal size by 34% in 12 months through structured coaching and pipeline reviews."

10. "Proven track record of…"

If your track record is proven, prove it. Don't meta-claim it.
Instead: the specific record itself, with numbers.

The rule behind all of this: Every bullet point should follow the structure Verb + What + Result. If you can't identify the result, the bullet isn't finished. A quantified result doesn't have to be a revenue number — it can be time saved, error rates reduced, processes improved, or scale reached.
